Enrollment and Communications

The Challenge

At Wallace Welch and Willingham we understand that one of the most important elements in any successful employee benefit plan is the communication of that plan to the participants.  Benefit plans are becoming more complicated every day as insurance carriers continue to innovate and add a new array of benefits and plans.  Additionally, government regulations are constantly changing the rules for administering benefit plans.  For example, the typical employer has one or more medical plans, a group life insurance plan and any of several other ancillary plans such as a dependent life plan, a supplemental life plan, short-term disability, long term-disability, dental insurance, and vision insurance plus a 401(k) retirement plan.  In addition, they may offer a Section 125 cafeteria plan (premium only), a medical flexible spending account (FSA), a dependent care assistance plan (DCAP), a health reimbursement arrangement (HRA) or a health savings account (HSA), and numerous investment options within the 401(k) plan.  The challenge is how to communicate these various plans to the participants in addition to eligibility and participations rules and contributions to the plans.  Of course, the challenge is even greater at annual enrollment.

We Make the Task Easier

Wallace Welch and Willingham is there every step of the way to assist our clients.  Some of the many tools we offer are:

  • Employee benefit portals-24 hour information for employees and dependents
  • Custom designed benefit overviews –usually produced as a tri-fold brochure that give a quick overview of all benefits
  • Custom designed benefit outlines- help employees make informed decisions at enrollment time
  • Custom designed enrollment forms-in some cases it is easier to combine enrollment forms rather than confuse employees with multiple forms
  • Spanish language forms-for employers with large numbers of Spanish speaking employees

Enrollment Team

Wallace Welch and Willingham will also coordinate the enrollment process for our clients.  This means that not only will we arrange for the necessary carrier personnel to attend each meeting, but our own staff members will also be there in person to assist you.  We will be there right beside you to help you explain benefit decisions and answer the tough questions from your employees.  All our staff members are experienced, licensed benefit professional with many years of experience. We can also assist you with Spanish speaking enrollers when needed.

Online Enrollments

When you have a very large work force or one that is scattered geographically, often an online enrollment process can speed up the process and reduce the number of hours needed to accomplish the enrollment. Wallace Welch and Willingham can also help you with on-line enrollments, whether that is accomplished through the carrier’s online enrollment system, a third-party system, or through you own benefit or HRIS system.  And if you do not own a system currently, but are considering purchasing one, we can provide expert analysis and advice in that area.  We can even help you put the Internet to work for you through an online Webinar to explain your employee benefits to remote employees.

Surveys and Focus Groups

How do your employees feel about their benefits?  Which benefits are most appreciated? Are you thinking about changing benefits?  Do you wonder how employees might react to the changes? In all these cases we can help with either a custom designed survey to collect the information you desire, or through a focus group made up of your employees.
